Executive Secretary
As per HRM Directive 518, this employment opportunity is restricted to Nunavut Inuit in Iqaluit only.
The Executive Secretary provides both executive and receptionist services for the President and those in the President’s office, and in support of the operations of the College’s Board of Governors. Duties include arranging meetings, recording the minutes of meetings and all committee meetings. This role also supports the Presidents role as a direct report to the Minister Responsible. Activates include preparing briefing books, Requests for Decision, organizing and maintaining correspondence, and other similar duties. Duties are performed within the relevant College and Nunavut acts, regulations, policies and procedures and under the direction of the President.
The Executive Secretary will also type and distribute correspondence and reports, prepare routine replies for the President’s signature, maintain an up-to-date filing system, make travel and accommodation requests, set up meetings, conference and video calls, order and manage supplies, attend meetings and record minutes and sort and log incoming/outgoing mail. The Executive Secretary also provides liaison services between the President’s office and other Deputy Ministers and provides communication services in Inuktitut and English as required.
The ideal candidate will have a Grade 12 diploma or equivalent, certification from a recognized postsecondary secretarial or office administration program and experience in managing duties in senior manager’s office. Fluency in Inuktitut and English is also required.
Knowledge of Nunavut and Inuit knowledge, history and expressions is an asset.
Equivalencies that consist of a combination of relevant education and experience may be considered.
